Happy Tactic — Privacy Policy
Effective October 27, 2026 · The Happy Tactic platform, carrier verification and driver checks, the Happy Tactic Driver app and happytactic.com · Español
This policy explains in plain English what Happy Tactic LLC (“Happy Tactic”, “we”, “us”) collects, why, who sees it, how long it is kept, and the choices you have. It covers:
- the Happy Tactic Driver mobile app;
- the secure links we send to a carrier’s owner, dispatcher and drivers during a carrier verification, and to a driver a company asks us to check;
- the Happy Tactic platform at app.happytactic.com, used by freight brokers and carriers (our “customers”);
- our website, happytactic.com.
Who we are and what we do
Happy Tactic helps freight brokers check that a trucking company (a “carrier”) and its drivers are who they say they are before they give it a load. It also runs a transportation management system (loads, dispatch, tracking, documents, invoicing and paying carriers) for those customers. We act for our business customers. When a broker verifies a carrier or checks a driver, we collect information from the carrier’s people on that broker’s behalf, and also to keep our verification service reliable across brokers, as described below.
The Happy Tactic Driver app
Happy Tactic Driver is a work app for commercial truck drivers. A freight broker or carrier that uses Happy Tactic invites you to install it so they can see the status of the load you are hauling for them. This part explains what the app collects, why, who sees it, how long it is kept, and how you can stop it or have it deleted.
What the app collects, and why
Your phone number. You sign in with your phone number and a one-time code we send by text message. We use the number to confirm it is you, to find the loads assigned to you, and to send that code. We do not use it for marketing.
Your name, as the company that dispatched you entered it, so the app can greet you and show who is signed in. The app does not ask you for it.
Your precise location — only while you have a load in transit. After you agree on the in-app screen that explains it, the app records your position about every five minutes while a load assigned to you is in transit (from dispatch until it is delivered), including while the app is in the background, your screen is locked or you are parked. Within 2 miles of your next stop it records your position once a minute, so your arrival time is right, and it sends one point right away when the company that dispatched the load asks for your location. Each point also carries how accurate it is, your speed, whether precise location is on, and whether your phone marked it as coming from a location-faking app, so arrivals can be recorded correctly. A notification is shown the whole time this is happening. It is sent to the company that dispatched that load so they can follow its progress and estimate arrival times without calling you. Each location point is tied to the one load you are hauling — never to another company’s load. When you have no signal, points wait on your phone and are sent when signal returns. The app does not collect your location when you have no load in transit, after the load is delivered, or after you turn sharing off.
Delivery photos and documents you choose to add. When you tap “Add POD photo”, the app opens your camera or files so you can add a proof-of-delivery photo or PDF. Large photos are made smaller on your phone before they are sent. The app does not look at your photo library on its own.
What you report about the load: your arrival, loaded, departed and delivered check-ins and any arrival time (ETA) you enter. Your arrival and departure times at each stop may be used by the company that dispatched the load to charge for detention (time kept waiting at a stop).
A push-notification token — an identifier your phone’s notification service gives the app — so we can tell you when a load is dispatched to you.
Basic technical information needed to run and secure the service: the app version and platform (for example “Android”), and the IP address and time of each request your phone makes to our servers, which our servers log for security.
Phone settings that affect location sharing, so a load that isn’t being tracked can be explained and fixed: whether your phone’s Location is on, whether the app has precise or approximate location and which location permission you gave it, whether battery settings or Battery Saver may stop the app in the background, and whether the app may show notifications. These are on/off settings only — nothing about what else is on your phone.
We do not collect your contacts, messages, call history, calendar, microphone, browsing history, the list of apps on your phone, or any advertising identifier. The app contains no advertising and no analytics or crash-reporting software. If the app crashes, Google Play may share an anonymous crash report with us, depending on your phone’s settings.
Who sees it
The broker or carrier that dispatched the load. Your check-ins, ETAs, delivery photos, and your location while that load is in transit are shared with the company that assigned you the load — the company that asked you to use this app. They may show the load’s progress to their own customer (the shipper or receiver of the freight) through a tracking link: its status, when it is expected, and the load’s latest position and recent route on a map, which come from your location points. Only companies you have accepted an invitation from can see anything; you can stop sharing with any of them in the app (see below).
Service providers that run parts of the service for us — cloud hosting and storage, text-message delivery (for your sign-in code and load links), maps and routing (to estimate arrival times), and the push-notification service built into your phone’s operating system. They may only use the information to provide that service to us. The full list is under “Service providers” below.
We do not sell your personal information and do not share it with advertisers or data brokers. We may disclose information when the law requires it, or to protect the safety and rights of people using the service.
How long it is kept
| Information | How long |
|---|---|
| Location points recorded while you are on a load | Kept with the load's record for as long as the dispatching company's Happy Tactic account is open; deleted 90 days after that account closes. |
| Check-ins, ETAs and proof-of-delivery photos | Part of the freight record for the load (brokers must keep a record of every load they arrange for at least 3 years — U.S. federal rule 49 CFR 371.3). Kept for as long as the dispatching company's Happy Tactic account is open; deleted 90 days after that account closes. |
| Sign-in codes | Expire after 10 minutes; deleted within 30 days. |
| Your sign-in session | Ends after 90 days without use or when you sign out; deleted 30 days after it ends. |
| Push-notification token | Turned off when you sign out or the token stops working. |
| Updates waiting on your phone for signal | Sent as soon as you have signal, then removed from the phone. Signing out removes them. |
These periods come from our platform data-retention policy, which applies to every company using Happy Tactic.
How it is protected
Everything the app sends is encrypted in transit (HTTPS). On your phone, your sign-in is kept in encrypted storage protected by the phone’s secure key store, and the app’s data is excluded from cloud backups and phone-to-phone transfers. Access to driver information inside Happy Tactic is limited to the company that dispatched the load.
Your choices
Turn location sharing off any time: in the app, open Settings and tap “Stop sharing my location”, or remove the location permission in your phone’s settings. The company that dispatched your load may still ask you for check-ins by phone or text.
Stop sharing with a company: in Settings, under “Companies you share loads with”, tap “Stop sharing”. That company’s loads no longer appear in your app, it stops receiving your location, and it will not be able to re-invite you. You can tap “Share again” later if you change your mind.
Notifications: turn them off in your phone’s settings.
Sign out from Settings. This ends your session on that phone, stops notifications to it, and removes your saved location points, waiting updates and location-sharing choice from the phone.
Delete your data
To ask us to delete the information we hold about you — or for a copy of it, or to correct it — email privacy@happytactic.com from any address and include the phone number you sign in with. We will confirm the request by texting that number, and complete it within 30 days. You can also start from inside the app: Settings → “Delete my data” opens these steps.
We delete your sign-in records, push tokens and location history. Check-ins and delivery photos are part of the freight record the dispatching company must keep by law; we remove your name and phone number from them where we can, and tell you if anything has to be kept.
Everyone else — a carrier’s owner, a dispatcher, a driver checked by a company, or a business customer — see Delete My Data.
Carrier verification and driver checks
Carrier verification on the website
When a broker verifies a carrier, the carrier’s owner, dispatcher and driver open secure links on the Happy Tactic website. We collect what each person sends there: contact details, the one-time code that confirms the registered phone, the recording of the verification call to the owner, licence or ID photos and a selfie, the details read from the licence (with that person’s consent, a check against official DMV records and a comparison of the selfie with the licence photo — the comparison measures the face; no face template is kept), a live-person check before the selfie (a short video of the face, checked by our service provider to confirm a live person is taking the selfie; it returns a still image of the face, which is kept with the selfie and deleted with it), truck photos (VIN plate, truck, door, trailer and registration) and what we read from them, insurance certificates and other documents the broker asks for, and, for security, the IP address, approximate location and device used (including basic browser and screen details that recognise a device seen before). The comparison of faces is biometric information: see the Biometric Information Policy.
Who sees it: the broker company that asked for the verification, and the service providers that run the checks. If the owner agrees, what they confirm about their company — its contact details, whether their identity check passed and when (never ID photos or ID numbers), the dispatchers they authorize or say they do not recognize, and the insurance Happy Tactic confirms — may be shown to other brokers who verify the same company.
The shipper or receiver of a load: for a load the driver hauls, the broker may send the load’s shipper or receiver the driver’s name and phone number and the truck, trailer and plate numbers, so they know who is picking up the freight. If the driver agrees, the broker may also send the shipper or the receiver of a load that driver is hauling a “Driver & truck” card with a picture of the front of the driver’s licence, to confirm who is picking up the freight. Without that agreement the licence picture is never sent.
A driver or a carrier’s owner, next time: when a driver or an owner proves who they are (ID photos, a selfie, the DMV check) and agrees to it, Happy Tactic keeps their latest set of photos that passed the checks and the details read from their ID, so their next verification — by the same broker or another — is compared with them: a new selfie with the ID photo on file, the new ID’s details with every earlier set. The verifying broker is told when something differs (for example “License number differs from the one on file from March 2026”) and never sees another broker’s photos or details; an owner (an owner-operator too) whose selfie matches does not scan their ID again. We keep the photos for 2 years after the person’s last verification (each new verification restarts the 2 years), and the details permanently; we delete them sooner when the person asks. If someone else tries to confirm the company as its owner, the verifying broker is told that the person is not the owner verified before; a broker sees the earlier photos only for its own earlier verification. The owner accepts this by continuing on the owner page (“By continuing you accept the Terms and Privacy Policy”); the time, IP address and device of that acceptance are recorded. An owner who earlier told us not to share their company’s verified results with other brokers keeps that choice.
| Information | How long |
|---|---|
| Licence or ID photos and selfies, with the still image the live-person check returns (the broker’s copy and Happy Tactic’s) | Kept until 90 days after the verification is decided or cancelled (180 days after the last activity if it is never decided). After that, only the person's latest set that passed the checks (ID front, ID back and selfie) is kept — until 2 years after their last verification (each new verification restarts the 2 years); older sets are deleted. Every check runs on the original photos; after the decision only a smaller copy of each photo is kept. Deleted sooner on request. |
| Truck photos (VIN plate, truck, door) | Kept 2 years after the truck's last verification; the VIN read from them is kept permanently. |
| The details read from a licence or ID (name, licence number, date of birth, address) and the result of every check | Kept permanently, to compare with the person’s later verifications. |
| Recordings of the verification call | The audio is deleted 90 days after the verification is decided or cancelled; the transcript and the answers stay with the verification record. |
| Insurance certificates | Kept permanently. |
| The verification record (the decision, the match / no-match results) | Kept for as long as the broker's account is open; deleted 90 days after the account closes. |
A copy of the verification the broker downloads or receives by email follows the broker’s own policy. To ask for a copy, a correction or deletion, email privacy@happytactic.com with the company’s name.
Check a driver
A company that uses Happy Tactic can also check a driver outside a carrier verification — one of its own drivers, or a driver of a carrier it works with. The company enters the driver’s name, phone and email, and we send the driver a secure link. With the driver’s consent, the check is the same as in a verification: licence photos and a selfie, the live-person check, a check of the licence against official DMV records and a comparison of the selfie with the licence photo. We record the driver’s consent answers and, for security, the IP address and device used.
The result goes to the company that asked. It also goes into the person’s identity history, so their later checks and verifications are compared with it, as described above. The driver’s name, phone, email and consent answers on the check are kept until 2 years after the driver’s last check in that company; the photos follow the same rules as verification photos (see the tables).
Our business customers, the website and public records
What we collect from our business customers
- Account details: names, work email addresses, phone numbers, company name, MC/DOT numbers, address, and the role of each user.
- Billing details. A card is processed by our payment provider; we do not store full card numbers.
- The freight and business records you put into the platform: loads, stops, rates, customers, carriers, drivers, documents (rate confirmations, bills of lading, proof of delivery, invoices) and messages.
- How you use the platform, for security and support: sign-ins, IP address, device and browser, and actions taken.
Carrier pay details. A broker can keep, for each carrier it pays: who to pay (the carrier, or its factoring company — with the notice of assignment and the factor’s name, remit address and contact details), the remit address, the bank account holder and bank name, the routing and account numbers, and the carrier’s W-9 (which shows its tax ID). Bank account numbers are stored encrypted and shown masked (the last 4 digits); only the company’s admins can reveal them. They are used only to pay the carrier or its factoring company for that broker — on remittances and in bank payment files the broker creates and uploads to its own bank. A change to bank details goes through the company’s own approval step and is recorded.
Insurance agents, website visitors and public records
Insurance agents. When a carrier’s owner gives us their insurance agent’s email, we ask the agency for a certificate. We keep the agency’s reply, the certificate, and the agent’s name, email and agency.
Website visitors. What you send us in a form (for example a demo request): your name, company, email, phone and message; and the basic technical data your browser sends (IP address, browser type, pages visited and the time). See the Cookie Notice.
Public sources. Federal motor-carrier records (carrier registration, operating authority, insurance filings, safety and inspection data, and the history of changes to those records), other public carrier data, and business information carriers publish about themselves.
How we use information
- To provide the service: run verifications and driver checks, show results to the company that asked, run the transportation management system, track loads, send invoices, pay carriers and support our customers.
- To check identity and prevent fraud: confirm a carrier’s owner controls the company’s registered phone; compare a person’s licence with DMV records and their selfie with their licence; notice when a person’s details differ from an earlier check; spot phone numbers, devices or networks linked to fraud.
- To give a customer suggestions from its own records — for example rates for a lane, carriers that run it, detention charges and loads running late. They are suggestions; the customer decides.
- To contact people: one-time codes, verification calls and texts, load links, insurance certificate requests and service emails. We do not send marketing texts.
- To keep the service secure, fix problems and improve it, and to meet legal obligations and enforce our terms.
We do not sell personal information, and we do not share it for cross-context behavioural advertising.
Service providers
These run parts of the service for us, under contracts that limit their use of the data to providing that service:
- cloud hosting and storage;
- identity-document reading, DMV record checks, face comparison and live-person checks;
- document reading (the text of uploaded documents); for a customer’s tender documents this may use an AI service, which reads the text to fill in the load for the customer to check;
- phone calls and text messages, including the computer voice used on automated calls;
- email delivery and push notifications;
- maps, routing and address lookup (stop addresses and locations, to estimate arrival times);
- fraud checks of phone numbers and IP addresses;
- error and uptime monitoring (error reports are scrubbed: no form contents, passwords, cookies or sign-in details);
- payment processing;
- background checks (MVR), only when one is ordered.
Services a customer connects
When a customer connects another service to its Happy Tactic account, we send that service the customer’s data it needs, on the customer’s instruction:
- factoring companies: invoices and the load’s documents (rate confirmation, proof of delivery, bill of lading);
- load boards: the loads the customer posts or searches for;
- accounting software: invoices, bills and payments;
- ELD (electronic logging device) providers: we read the drivers’ hours of service and the trucks’ locations from them;
- the customer’s own AI assistant, through the AI connector or the API keys the customer creates: whatever that connection is allowed to read or do.
Those services’ own terms and privacy policies apply to what they receive.
Background checks (MVR)
A motor-vehicle record is a consumer report under the Fair Credit Reporting Act. When a broker orders one, it is ordered from a consumer reporting agency, with the driver’s separate written disclosure and authorization. The driver receives the rights and notices the law provides. Happy Tactic passes the request and shows the result to the ordering broker, and does not use the report for any other purpose.
How long business records are kept
| Information | How long |
|---|---|
| "Check a driver": the driver’s name, phone, email and consent answers | Kept until 2 years after the driver's last check in that company (a newer check of the same driver restarts the 2 years); then removed, and the check stays only as a record of its result and date. A check that is cancelled or never completed: removed 180 days after the last activity. The photos follow the photo rule above. |
| Carrier pay details (bank details, W-9, notice of assignment, factoring company) | Kept for as long as the broker's account is open; deleted with the company, 90 days after the account closes. |
| Load records, load documents and invoices | Kept for as long as the customer's account is open (brokers must keep load records for at least 3 years — 49 CFR 371.3); deleted 90 days after the account closes. |
| Account and user details, settings and billing records | Kept for as long as the account is open; deleted 90 days after it closes. We keep the amounts and numbers of invoices and charges as our own financial records. |
| Verifications never submitted, or started and never decided | The personal details are removed 180 days after the last activity. |
| Cancelled verifications | The personal details are removed 90 days after the cancel. |
Deletion runs automatically, from the same platform data-retention policy.
Security
- Everything sent to and from Happy Tactic is encrypted in transit (HTTPS).
- Bank account numbers, sensitive identity data and the keys for services a customer connects are stored encrypted in our database.
- Each customer can see only its own records. Happy Tactic staff access is limited by staff role, and changes staff make are recorded.
No system is perfectly secure. We will tell affected people and customers about a breach as the law requires.
Your rights
- Requests: you can ask for a copy of your information, a correction, or deletion. Email privacy@happytactic.com, or see Delete My Data. We confirm the request and complete it within 30 days, or within the time your state’s law sets.
- Sharing with other brokers: a carrier’s owner can refuse it, or withdraw consent, by emailing privacy@happytactic.com.
- What we may keep: freight and verification records a company must keep by law, or that are needed for a legal claim. We remove names and contact details from them where we can.
- State rights: residents of states with consumer privacy laws (for example California, Colorado, Connecticut, Virginia, Texas, Oregon, Washington) have the rights those laws give, including the right to appeal a refused request by replying to our answer. We will not treat you differently for using your rights.
- If you are a customer’s user: when your information is in Happy Tactic because your company is our customer, we may pass your request to your company, which controls that data.
Children
Happy Tactic is for businesses and licensed professional drivers and is not meant for anyone under 18. We do not knowingly collect information from children.
Changes to this policy
If we change what we collect or how it is used, we will update this page and its effective date, and tell customers and app users (in the app) before a significant change takes effect.
